The Legal Secretary will provide high-level administrative and legal support to attorneys and legal professionals within a dynamic corporate legal department. This role focuses on drafting, formatting, proofreading, and managing legal and business documents. Reporting directly to the Senior Vice President and General Counsel, the ideal candidate will demonstrate exceptional attention to detail, discretion, strong word processing skills, and the ability to thrive in a fast-paced, international business environment. This role is based on-site in Fort Lauderdale, FL.
Responsibilities:
Prepare, format, and proofread a variety of legal documents, including contracts, corporate resolutions, board materials, NDAs, service agreements, and regulatory filings
Manage document version control and maintain filing systems for legal records (both physical and electronic)
Support company secretarial functions, including maintaining corporate minute books, preparing board resolutions, and coordinating signatures
Manage attorneys with scheduling, travel arrangements, meeting logistics, and calendar management
Coordinate notarizations, apostilles, and filings with regulatory and corporate authorities (e.g., FAA, Companies House, Secretary of State offices)
Liaise with outside counsel, business stakeholders, and counterparties on legal document execution and delivery
Track deadlines and support compliance with legal and regulatory requirements across jurisdictions
Support the preparation and submission of RFPs, tenders, and contractual proposals as needed.
Qualification:
At least 5 years of experience as a Legal Secretary in a corporate law firm or in-house legal department.
Strong prior background in corporate transactional work (e.g., contracts, M&A, corporate governance); this role does not focus on litigation.
Excellent written and verbal communication skills.
Highly organized, proactive, and able to work independently with minimal supervision. Flexible and able to deal effectively with quickly changing priorities.
Ability to manage multiple priorities and adapt to shifting deadlines in a fast-paced environment.
Proficiency with MS Office products (Word, PowerPoint, Excel) and internet research.
Practical and business-oriented, with the ability and desire to provide world-class service to internal and external clients.
Prior experience with an in-house legal department or law firm.
